Online appointment scheduling for public service offices, local authorities and consultation hours

Queue tickets, crowded corridors, callers on hold: drop-in hours are exhausting for citizens and staff alike. This guide shows how fixed appointments with a stated request and time slot even out demand and make casework predictable.

Requests known in advance

ID card, change of address, criminal record certificate: the request is chosen when booking, and the duration adjusts accordingly.

An even workload

Appointments spread demand across the day. Waiting times go down without the need for more staff.

No third-party scripts

The booking page loads nothing from third parties. That makes data protection reviews and sign-off easier.

The starting point

What makes scheduling hard in this industry

01

Peak times and idle times

On Monday mornings the corridor is full, on Thursday afternoons caseworkers sit without visitors. Without appointments, demand doesn’t spread out.

02

Wrong or missing documents

The citizen arrives without a passport photo, the applicant without their certificates. One appointment turns into two.

03

Requests of very different lengths

A certificate of residence takes five minutes, a naturalisation an hour. A one-size-fits-all schedule leads to waiting or idle time.

04

Job interviews across departments

The specialist department, HR and the applicant all have to find a time. Arranging it by email takes days.

The solution

How Resavis solves this for Public Services & Administration

No special features, just the existing building blocks combined the right way: services, staff, buffers, form builder, payments and notifications.

Requests as services

Each request with its own duration: certificate of residence 10 minutes, ID card 20, advice 45. Categories by department.

Staff, counters, consultation rooms

Caseworkers or counters as staff members, each with their own consultation hours. Citizens choose the request, not the person.

A note on documents to bring

The confirmation email lists what to bring for each request. Form fields ask for a reference number or date of birth.

Approval for sensitive appointments

Job interviews and advice appointments with approval: the request is reviewed first, then confirmed.

Locations for branch offices

Town hall, North service point, South branch office. Citizens choose the location first and only see its times.

No tracking, servers in the EU

No third-party scripts, no third-party fonts, data in the EU. That makes sign-off by the data protection officer easier.

How to set up Resavis for Public Services & Administration

Six steps, in this order. Most businesses are taking bookings within an hour.

  1. Record and group requests

List all requests with a realistic duration. Combine similar requests into one service, with categories by department.

  2. Set up counters and consultation hours

Each counter or caseworker as a staff member with consultation hours, breaks and cover arrangements through days off.

  3. Switch off staff selection

Citizens only choose the request and the time. Resavis assigns the next available counter.

  4. Documents in the confirmation

For each request, a note listing the documents to bring. A required field for the number of people for family matters.

  5. Deadlines and blocked times

Minimum notice of one day, booking up to four weeks in advance, special days for closing days and training.

  6. Link on the website and notice board

Booking link on the authority’s website, QR code at the entrance and on letters, widget on the service page.

Frequently asked questions: Public Services & Administration

Can citizens without an email address get an appointment?

Yes, through the admin area: staff book appointments for citizens who phone or come in person. Online booking itself requires an email address for the confirmation.

How do we stop people from booking several appointments?

Set a minimum notice and a limit on how far in advance people can book. You can spot multiple bookings in the customer records by the email address and cancel them with one click.

Is the booking page accessible?

The booking page can be used with a keyboard and has visible focus states, sufficient contrast and clear labels. It runs without third-party scripts and adapts to small screens. On request, we will carry out a formal accessibility audit with you, for example against WCAG.

Where is the data stored?

On servers in the European Union. The booking page loads no content from third parties. Resavis acts as a data processor, and a data processing agreement is available on request.

Can we offer appointments at several locations?

Yes. Each location has its own counters and consultation hours. Citizens choose the location first and then only see the requests and times available there.
