Online appointment booking for tutoring, language schools, driving schools and academies

Teaching thrives on reliability: fixed times, full groups, no gaps in the timetable. This guide shows how pupils and students book lessons themselves, how group places are counted automatically and how driving lessons are scheduled without a chain of phone calls.

One-to-one and groups in one system

A one-to-one lesson with one place, a conversation course with eight. Resavis counts the places and closes courses once they are full.

Parents book in the evening

Tutoring appointments get booked after work. Your booking page is open then, even when you aren’t.

Teachers with their own hours

Each teacher maintains their own availability and only sees their own lessons.

The starting point

What makes scheduling hard in this industry

01

Timetable chaos by message

Pupils ask on WhatsApp, parents call, teachers reply from the car. In the end, nobody has an overview.

02

Half-empty groups

A course with three of its eight places filled costs just as much teaching time as a full one. Free places have to be visible to get filled.

03

Last-minute cancellations

Illness, a class test, a forgotten lesson. Without a deadline and reminders, lessons go unpaid and teachers are left with nothing to do.

04

Driving lessons and test dates

Learner drivers need lots of short appointments with one particular instructor, often in the afternoon. That turns scheduling into a job of its own.

The solution

How Resavis solves this for Education & Tutoring

No special features, just the existing building blocks combined the right way: services, staff, buffers, form builder, payments and notifications.

Group courses with capacity

Set up ‘Conversation course B1’ with eight places. Participants book into the same appointment until it is full. Families book several places at once.

One-to-one lessons per teacher

Maths tutoring for 60 minutes, only with the teachers who teach the subject. Prices and duration can be adjusted per teacher.

Cancellation deadline and reminders

Cancellations up to 24 hours before via the link, reminder the day before. Lessons cancelled later can still be charged.

Driving lessons in 45-minute slots

A 45-minute driving lesson with a 15-minute buffer for changing vehicles. Learners book with their instructor as soon as times become available.

Lesson passes and prepayment

One-to-one lessons paid in advance via Stripe or PayPal, or a 10-lesson pass as a service at a package price. No unpaid invoices from families.

Form fields for year group and subject

Year group, subject, current topic, learning goal. The teacher knows what it’s about before the first lesson.

Guide

How to set up Resavis for Education & Tutoring

Six steps, in this order. Most businesses are taking bookings within an hour.

  1. Turn your offer into services

One-to-one lesson, double lesson, group course with capacity, free trial lesson. Subjects as categories.

  2. Assign teachers and subjects

Each teacher only with the subjects and formats they teach. Working hours per weekday, school holidays as days off.

  3. Rooms and branches as locations

Set up multiple branches as locations. The booking page only shows what takes place at the chosen location.

  4. Prepayment for one-to-one lessons

Connect Stripe or PayPal. Trial lessons stay free, everything else is paid at the time of booking.

  5. Deadlines and reminders

Cancellation deadline of 24 hours, reminder the day before. For group courses, also add a note about materials to the confirmation text.

  6. Share the link with parents and pupils

Booking link in the welcome email, on the website and as a QR code on the timetable.

Frequently asked questions: Education & Tutoring

Can several pupils book the same course?

Yes. Set up the service with a capacity, for example eight places. Each booking takes one or more places until the appointment is full. It then disappears from the booking page.

How do I set up a fixed course time over ten weeks?

Create a separate resource for the course as a staff member, for example ‘French B1 course’, with working hours only on Tuesdays from 6pm to 7.30pm. That gives you exactly one bookable appointment per week, which participants can book into until it reaches capacity.

What happens if a teacher is ill?

Enter a day off for the teacher. Cancel any lessons already booked in the admin area, and pupils automatically receive a message with a link to book again.

Can parents book for their children?

Yes. The booking uses the parents’ email address, and the child’s name is asked for in a form field. That way, confirmations and reminders go to the parents.

Is Resavis suitable for a driving school?

Yes. Driving instructors are staff members, driving lessons are services of 45 or 90 minutes, and changing vehicles is handled with a buffer. Learner drivers book with their instructor, and you enter test dates in the admin area.
